WORK EFFECTIVELY IN EMERGENCY SITUATIONS

The most productive individuals are those who master the art of dealing with emergencies, unexpected and unplanned situations that require immediate attention to prevent serious consequences. “Put out fires” is the usual term for handling an emergency. When an emergency occurs, minimize lost time by following these suggestions:

  • Keep calm.

The existence of an emergency implies that something is out of the normal control. If, in addition, you lose control of your emotions, it becomes difficult to make rational decisions that meet the needs of the moment. Tell yourself, “I’ve solved harder problems under pressure. I can solve this one, too.”

  • Isolate the main consideration.

When an emergency arises, something will likely be lost as a result of the situation, whether it be time, money or materials. Decide what loss can be tolerated and what loss should be avoided. Isolate the root of the problem so you can immediately respond to the real problem. Your goal is to solve the problem and regain control without critical loss.

  • Return to normal conditions as soon as possible.

The goal in emergency management is to personally take charge of the situation only for as long as necessary. Make suggestions, take action, give instruction, and then get out; let the person who is normally in charge complete the work. Offer only the help needed and trust your staff to see it through.

  • Learn something from every emergency situation.

The management of each emergency situation must make a direct contribution to the prevention of future emergencies. After the excitement is over and the situation has returned to normal, conduct an emergency discussion briefing with those involved to determine how a similar emergency can be avoided in the future. Make this a training opportunity and planning experience, not a “place to blame.” The more all team members learn about emergency management, the better able they will be to handle future emergencies, and the less you will be asked to get involved.
